Re: COVID-19 (novel coronavirus) – eCubed Health & Safety Action Plan (Rev 1)
As a result of the COVID-19 Virus, eCubed have made some immediate policy decisions & updates that we would like you all to be aware of.
Our precautionary approach calls for testing and planning:
A full scale eCubed working-from-home test will take place on Monday 23rd March 2020. In effect, this shall be a normal working day with all staff involved. Over the past ten days, preparations have been put in place, with individual working-from-home tests being successfully completed.
eCubed are in a good position to continue working through any closures put into place by the government. Our current planning ensures we are in as strong a position as possible if the government does put closure measures in place.
In the event that we are working from home, you can find a full list of staff contact details at the bottom of this document.
In addition, the following policy updates have been made to our internal operations:
Office-wide withdrawal from all eCubed international travel and a mandatory isolation period for those who have returned from overseas travel in the last two weeks.
Office-wide withdrawal from all eCubed domestic air travel, except for critical requirements. These will need to be approved by the Directors.
From the 19th of March, a ban on all non-critical face-to-face meetings, instead utilising Microsoft Teams, Google Hang Outs or Zoom video conference solutions (or any other online channels that our clients and partners prefer).
From the 19th of March, a ban on all non-essential face-to-face meetings with sales representatives or similar within or outside the office, instead utilising Microsoft Teams or Zoom, Google Hang Outs video conference solutions (or any other online channels that our sales representatives or similar prefer).
From the 19th of March, all non-essential site inspections shall be postponed. Where site inspections are deemed important for closure of areas and council requirements, these shall be completed in agreement with the Directors. Similar rules on site apply as for all office interactions. While on site, a safe social distance of 1.5m shall be maintained at all times. If any site personnel are showing signs of illness with, or similar to, the Covid-19 virus, staff shall not be expected to continue the inspection.
Any meetings within or external to the office will need to be discussed and approved by a minimum of two Directors.
A zero-tolerance approach to being in the office when unwell - irrespective of the nature or severity of the illness.
Upgrades to daily office hygiene protocols, including visitation procedures.
A ban on eCubed social gatherings and group activities.
Advice to always cover your mouth/nose when you cough or sneeze. Sneeze or cough into the crook of your elbow.
No hand shaking, hugs or embraces. Maintain personal space of 1.5m whenever possible.
Should any eCubed staff member come into contact with a confirmed case of Covid-19, they must notify a Director immediately and put themselves into self-isolation for 14 days. Directors will discuss options to work from home or leave options.
If you plan on travelling internationally for personal reasons from 16 March 2020, please contact a Director to discuss a return to work plan.
Understanding Covid-19
COVID-19 is a virus that can affect your lungs and breathing capabilities. It’s caused by a type of coronavirus. The symptoms of COVID-19 are. (Please refer to the MoH website updates noted below)
a cough
a high temperature (at least 38°C)
shortness of breath
We’ve identified that it is necessary to have a plan for Health & Safety practices and business continuity in the event of a pandemic in New Zealand.
Measures we must now take immediately, in order to protect ourselves and others are as follows:
Office Amenities – Toilet & Kitchen
Addition of single-use paper towel dispenser in both the bathroom & kitchen.
Addition of pedal bin c/w bin liner in both the bathroom & kitchen.
Liquid soap dispenser and refill bottle in both the bathroom & kitchen.
Follow the Ministry of Health guidelines (see attached Infosheet).
Office Amenities – Kitchen Use
Place dirty dishes in the dishwasher or hand wash them.
If the dishwasher is on - then wash up your cup, bowl etc.
If the dishwasher is full of clean dishes - empty it.
Wash pans and implements used in preparing a meal immediately after you used them.
Clean benchtop immediately after you used the kitchen.
Plastic containers to be washed by hand and put to dry on the drainer.
Office Open Plan – Ventilation
Open roller door whenever the temperature allows.
Open upstairs sliding door, weather permitting.
Keep the toilet extract fan on during business hours.
Office Cars
Baby wipes to clean up surfaces.
Regular cleaning of car interiors.
Travelling
Use eCubed office cars, defer using Uber or other cab services.
Defer from using public transport wherever possible.
Use video conference calls instead of attend meetings.
If you are not well:
Stay home if you feel unwell.
Self-isolate for 14 days if necessary.
Follow the Ministry of Health guidelines (see attached Info sheet).
